SALINE-BRECON FRIENDSHIP GUILD, LTD BOARD MEETING June 12, 2012

Meeting called to order at 7:10 PM by Dottie Barnes.
SECRETARY’S REPORT: Corrections. The June board meeting was changed to June 12th vs. June 27th because of board members availability. Approved with corrections.
TREASURER’S REPORT: $12,194.92 CD $ 3790.21 Checking account $15,985.13 Total This included proceeds from Brecon Night. Betsey motioned to approve. Support Dick. Approved.
Brecon Night itemized sheet reviewed. Attached to these minutes. Rolf presented a comparison to 2011. Revenue increased from $3109.50 in 2011 to $3640.50 in 2012. The biggest new expense item was $418.75 for alcohol liability insurance. Overall the net revenue decreased.
Liability insurance for board members. It was discussed that an “errors and omissions” insurance might be prudent to have for board members. Rolf will check the cost of such a policy with Hartman Insurance.
BRECON NIGHT APRIL 27, 2012
Attendance was down from previous years. There were 66 who paid for their dinners. Bruce received reservation requests from some the week before the event. However, some people did not attend after an RSVP. New people who attended saw the posted signs advertising Brecon Night. In addition the small cards were passed out to individuals.
Food --- received mixed reviews this year. Many positive responses but some complaints that the chicken was dry.
A thank you was voiced to Dottie Barnes and Dick Cunkle for hand-delivering thank you’s to the local merchants. Also to Bruce Westlake for chairing the event, and all members of the board and community who were instrumental in the success of Brecon Night 2012.
SUSTAINING MEMBERS SUMMER PICNIC. Will be held on Sunday, August 12 at Marge Delhey’s home, 3874 Waterworks Rd. Arrive at 3:30 PM. Eat at 5 PM. Steve Chapin is the grill master. Table service, tea, coffee and soft drinks will be provided. Assignments for dishes to pass will be included in the Newsletter to members.
Sustaining membership is also down. The Newsletter will go out to all members accepting membership fee for sustaining members at the picnic and also encouraging new sustaining members. Jim Roth volunteered to prepare the newsletter.
OCTOBER FALL FLING– Dottie Barnes and Paul Bunten will approach the American Legion Board on Thursday, June 14 exploring possibilities of holding the Fall Fling and Brecon Night 2013 there. Dottie will also speak with Nancy and Walt Byers about the Stone Arch Venue.
DOWNTOWN DINER --- Dick Cunkle states the diner is able to hold about 50 people. The owner is agreeable to exploring hosting a Brecon event there.
RUBY TUESDAY FUNDRAISING NIGHT. Dick Cunkle reports the management at Ruby Tuesday’s is requesting the tax ID number for interested organizations. Then they submit the request to the corporation for approval. Lucy to contact Ruby Tuesday and compose a letter requesting approval.
CELTIC FESTIVAL VOLUNTEERS---- July 14, 2012. Contact Jim Roth to schedule specific time to work. Shifts are two hours in length.
COOKBOOKS –“LEEKS, LAMB, AND UNCLE SAM” It was suggested that the cook books be made available for sale at the SBFG Display. Sale price was not finalized. It may be a free will offering. Dottie has a supply of the books.
NEXT BOARD MEETING --- Scheduled for Wednesday, September 26 at 7 PM at the Primrose Kitchenette at Brecon Village.
TENTATIVE AGENDA: Fall Fling, Brecon Night 2013, inventory of significant/important documents relative to The Guild history. What to keep? How long to keep it?
